Everyone in a Looq organization has exactly one role in it. The role decides what they can see and what they can change, from uploading captures to inviting new people. If you belong to more than one organization, you can hold a different role in each; the role that applies is the one for the organization selected in the header.
The seven roles
Role |
Who it's for and what they can do |
|---|---|
Admin |
Owns the organization. Invites and removes members, sets roles, manages organization details and code profiles, and can do everything any other role can. |
Manager |
Runs sites day to day. Creates, deletes and restores sites and does all the capture and module work an Editor does. Can't invite members, change roles or change organization settings. |
Editor |
The production role. Uploads and organizes captures, runs Align to Control, builds surveys and qPole work, and exports results. Can't create or delete sites. |
Analyst |
Works with processed data. Opens every module, measures and exports deliverables, but can't upload, edit captures or run Align to Control. |
Viewer |
Look only. Opens sites in qApp to view the point cloud and images and take measurements. No downloads and no qPole or qSurvey. |
Operator |
Field crews. Uploads captures and base station files, and nothing else: operators can't open sites or see results. |
Billing |
Finance contacts. Invoices and receipts only, with no access to sites or data. |
Picking a role. Give people the least access that lets them do their job. Most production staff are Editors; people who review results without changing them are Analysts or Viewers; crews who only collect data are Operators.
Who can manage roles
Only Admins can invite members, change roles and remove members. Admins see every page under Admin: Organization, Tags, Members, Sites and Code Profiles.
Managers also see the Admin tab, but only the Sites and Code Profiles pages. Every other role doesn't see the Admin tab at all.
Invite a new member
1. Open Admin in the header and choose Members.
2. Press Invite member.
3. Enter their Full name and Email.
4. Choose a Role. It starts on Editor.
5. Press Send invite. They get an email to set a password and join your organization.

The Invite member dialog. The role you pick here applies as soon as they join.
Change a member's role
1. Open Admin → Members and find the person. Use Search members in a large organization.
2. Press Edit on their row.
3. Choose the new role and save.
Screenshot to add: The Edit member dialog with the role picker open.
If the member is signed in when you make the change, they may need to refresh the page before it takes effect.
Remove a member
Press Remove on the member's row and confirm. They lose access to the organization straight away.

Members lists everyone in the organization with their role. Admins show All sites under Sites and Scope.
Keep more than one Admin. Only Admins can invite people or change roles. If your only Admin leaves or loses access, nobody in the organization can manage members until Looq support steps in.

Coming soon
• Site-level access. Limit a member to specific sites instead of the whole organization. This is what the Sites and Scope columns on the Members page are for.
• Groups. Put members in groups and give a group access to a site in one step.
• Billing in the web app. Invoices, receipts and invoice payment for Admin and Billing.
• Sharing. Share a site, and create public share links for people outside your organization.
Payment methods and subscription changes aren't planned for the web app. Contact Looq for those.
